About us

I wanted a family dentist, I found a growth problem

I spent more than a decade working with some of the world’s largest service businesses, leading sales and service transformations.

After moving to Boston, my family needed a new dentist. I wanted the kind of independent family practice we could stick with for years as we put down roots here.

What surprised me was how hard many of those practices made it to become a patient. Calls went unanswered. Forms disappeared. Follow up was slow. The practices making it easiest were often the large DSOs.

That did not sit right with me.

So I started looking more closely. I kept calling, submitting forms and testing the new patient experience. The pattern was hard to ignore. Great dentists were losing patients because the systems around the practice were letting them down.

FirstResponseDental provides new patient response and booking services to dental practices. This policy explains what we collect through this website and our contact, demo and assessment forms, how we use it, and the choices you have.

It covers people who visit this site or contact us about our services: practice owners, managers and their teams. It does not cover information about a practice’s own patients that we handle on their behalf, which is described in section 8.

1. Information you give us

  • Your name, role, practice name, email address and phone number.
  • Anything you type into one of our forms, including the message field on the contact form.
  • Your preferred contact method and the consents you give when you submit a form.
  • Your answers to the New Patient Conversion Score assessment, and the details you give if you request a roadmap.
  • What you tell us by phone, text or email.

Our live demo asks for a real name, mobile number and email address, because the point of it is that we respond to you the way we would respond to one of your patients. If you would rather not give us a working number, use the contact form instead.

2. Information collected automatically

  • IP address, browser and device type.
  • Pages viewed, time on each page, and the site or search that sent you here.
  • Approximate location inferred from your IP address.

We use cookies and similar technologies to do this. See section 6.

3. How we use it

  • To reply to your inquiry and arrange a walkthrough.
  • To run the live demo when you ask for one.
  • To build and send your assessment roadmap.
  • To improve this site and the services we offer.
  • To meet our legal, accounting and record-keeping obligations.

We do not sell your personal information, and we do not share it with anyone else for their own marketing.

4. Calls and text messages

If you give us your mobile number and tick the SMS consent box, you agree that FirstResponse Dental may send you text messages about your inquiry or demo request. Consent is not a condition of purchase, and it is not a condition of using this site — every form here can be submitted without ticking it.

Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help. You can also email us at hello@firstresponsedental.com to be removed.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt in data and consent will not be shared with any third parties.

We keep the text messages and emails you exchange with us so there is a record of what was asked and answered. We do not record telephone calls.

5. Marketing email

Our forms carry two separate consents: one to be contacted about your inquiry, and one to hear from us afterwards about our services. You can give the first without the second. Every marketing email has an unsubscribe link, and unsubscribing does not stop us replying to something you have asked us about.

6. Cookies and analytics

This site does not use third-party analytics, advertising or tracking cookies. Our hosting provider keeps standard server logs, which include IP addresses and the pages requested, so the site can be operated and kept secure. If we add an analytics provider later we will name it here before we start.

7. Who we share it with

  • Service providers who work for us: website hosting, email delivery, CRM, phone and messaging platforms, scheduling and analytics. They may use your information only to provide their service to us.
  • Our professional advisers, such as lawyers and accountants.
  • Anyone we are legally required to share it with, or where we need to protect our rights or someone’s safety.
  • A buyer or successor, if the business is sold, merged or reorganised.

8. Patient information

When we respond to inquiries on behalf of a client practice, we may handle information about that practice’s patients. That information belongs to the practice, not to us. We handle it under our written agreement with the practice, including a Business Associate Agreement where HIPAA applies, and we use it only to do the work the practice has asked us to do.

If you are a patient and you have a question about your own records, please contact your dental practice directly.

9. How long we keep it

  • Inquiry, demo and walkthrough records: 3 years after our last contact with you.
  • Marketing list: until you unsubscribe.
  • Text message and email logs: 24 months.
  • Assessment answers and roadmaps: 3 years.

We delete or anonymise information once we no longer need it for the purpose we collected it for, unless we have to keep it longer by law.

10. Security

We use reasonable administrative, technical and physical safeguards to protect the information we hold, including access controls and encryption in transit. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Your rights

  • Know what personal information we hold about you and get a copy of it.
  • Correct information that is wrong.
  • Ask us to delete it.
  • Opt out of marketing at any time.
  • Not be treated differently for exercising any of these rights.

Depending on where you live, US state privacy laws may give you these rights. We do not sell personal information and we do not share it for cross-context behavioural advertising. To make a request, email hello@firstresponsedental.com. We will need to verify who you are before we act on it, and you may use an authorised agent to make a request for you.

12. Children

This site is for dental practices and the people who run them. It is not directed at children, and we do not knowingly collect personal information from anyone under 16 through it.

13. Other websites

This site may link to sites we do not control. This policy does not apply to them, and we are not responsible for how they handle your information.

14. Changes to this policy

If we change this policy we will post the updated version here and change the effective date above. If the change is significant, we will say so on the site or tell you directly.

1. Who we are

FirstResponseDental provides new patient response and booking services to dental practices. We are based in Somerville, Massachusetts. You can reach us at hello@firstresponsedental.com.

2. What this site is

This site describes our services and lets you ask us about them. Nothing on it is an offer capable of acceptance, and nothing on it forms a contract to supply services. Any engagement is governed by a separate written agreement.

3. Using the site

  • Give accurate information, and only give us contact details you are entitled to use.
  • Do not submit anything unlawful, or anything that infringes someone else’s rights.
  • Do not attempt to disrupt the site, probe it for vulnerabilities, or access it by automated means without our permission.
  • Do not submit information about a patient. Our forms are for practices and the people who run them.

4. Inquiry, demo and assessment forms

When you submit a form we use what you send to reply to you and, where you asked for one, to run a demo or build an assessment roadmap. Our live demo asks for a real name, mobile number and email address, because the point of it is that we respond to you the way we would respond to an inquiry. The assessment gives an indicative score based only on the answers you give; it is not an audit of your practice and should not be relied on as one.

5. Text messages

FirstResponse Dental uses text messaging to communicate with people who have asked us for information or a demo. If you tick the SMS consent box on one of our forms, you agree to receive text messages from FirstResponse Dental about your inquiry or demo request.

Where we link to a site we do not control, we are not responsible for its content or how it handles your information.

9. Availability

We try to keep the site available, but we do not promise it will be uninterrupted or error free. We may change, suspend or withdraw any part of it at any time.

10. Disclaimer and liability

The site is provided as is. To the fullest extent the law allows, we exclude implied warranties and we are not liable for indirect or consequential loss, or for lost profits, revenue or data, arising from your use of the site.
